Creating .html files for emailing and uploading to the web
Creating .csv files for exporting to a spreadsheet
Schedules and pre-scheduling data (requests, vacation, non-availability,
manual assignments) can be saved directly from CallSchedule's
"Reports" window as .csv or .html files. Both types may be saved
with one axis days and the other axis either people or call work types.
Days may be on either axis. Single month or multiple month HTML files can
be created. Single month files are given unique name which includes the
month and year. Multiple month files always have the same name for easy
uploading to the web. HTML files have the
extension ".html". CSV (comma separted values) files have the
extension ".csv". CallSchedule saves these files in it's
directory. The default is "C:\Program
Files\Callschedule\". HTML files can be opened in a browser. Navigate
to the correct directory with "explorer" or "My computer"
and double click on the file name to open the HTML files in a browser.
HTML files are easy to email or post on the web. To open a .csv file with
a spreadsheet program, first start the spreadsheet program. Navigate to
the correct directory. Display files of type "All files" or
"Text files" in the spreadsheet file dialog box. Double click on
the file name to open it in the spreadsheet program.
Creating .pdf files for emailing or uploading to the web
Using a PDF file producer as a printer allows users of CallSchedule to
convert all the printed output of CallSchedule into electronic documents that
are relatively small and easy to email or post on the web. These .pdf file
creating compression programs are available as printers after
installation. A purchased PDF writer is required, not just the free
reader. CallSchedule prints to the system default printer, but
this can be changed in the "Reports" window for a session of
CallSchedule. Pinter orientation and font can also be set from the
"Reports" window. In the default mode CallSchedule sends each
report as a separate document. The PDF producer sets a new file for each
document, which is inconvenient. "Reports" has an option to send
multiple document output as a single document. Unless you are on Windows©
98 and are using an older PDF maker, check the box for "Print as single
document" and the requested print output will sent as a single document
separated by page breaks.
Callschedule will use the entire printing area for most of its printed output
in either landscape or portrait. Schedules and statistics that appear to
be 11'' X 17" can be produced. The paper size can not be set in
CallSchedule. Use the operating system "printers" to set paper
size.
Callschedule has been tested with 2 PDF file creation programs.
PDF Producer™ by Data Becker ($50 Staples) and Adobe© Acrobat© versions 4
and 6 by Adobe ($299 Staples). Both worked perfectly with Callschedule on Windows XP.
Adobe© Acrobat© has many more functions including email and upload.
Acrobat© version 6 has a problem on W98 that it loses track of it's
files. It can be fixed for each computer session by changing, and changing
back the compression options of the printer from the operating systems
"printers". Adobe is aware of the problem and expects a fix
shortly. Acrobat© version 4 worked well on W98 with the exception that
printing many pages as a single document made CallSchedule appear to be
unresponsive while the compression took place. This could be for minutes
even on a fast computer. We would not suggest printing as single documents on
W98. Acrobat© states compatibility with W98 2nd edition, XP, and
W2000 and NT with various service packs.
PDF Producer™ by Data Becker created only the PDF file and had a basic
viewer and page deletion option. It is for W2000 and XP. It
had no email or upload capabilities, these needed to be done from other
programs. It had only one paper size and orientation (A4, portrait). It did have a option to view only a
file and save later, if desired.
Both gave the same default option for saving a file each time. Overwriting
the previous output file or renaming output file was required. We suggest overwriting
the file and using "Save As ...", if the option to view the file
in the PDF creator is selected.

Using Microsoft Office®
to produce image output
If you have the latest version of Microsoft Office®
installed, the "Microsoft Office Document Image Writer" should appear in your
list of printers. The printer makes image files of CallSchedule's (and other
programs) printed output. The printer is capable of both portrait and landscape
orientation, but attempting to set the orientation to landscape from
CallSchedule's reports window results in an error. The printer can be changed
in the other direction (from landscape to portrait) from CallSchedule, and can
be changed in both directions from the operating system's "Printers and faxes".
The .mdi files produced can be emailed, but the recipient will also require the
latest Microsoft Office®.
